Our privacy policy and how we use your data

1. Introduction

Overman Labs LLC, doing business as FamilyBridge ("Company," "we," "us," or "our"), is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our supervised visitation management platform and related services (the "Service").

Please read this Privacy Policy carefully. By using the Service, you consent to the practices described in this policy.

2. Information We Collect

2.1 Account Information

When you create an account, we collect:

  • Name and email address
  • Organization name and business address
  • Phone number
  • Professional credentials and certifications
  • Password (stored in encrypted form)

2.2 Case and Visit Data

Through your use of the Service, you may input the following types of data:

  • Case information including party names and relationships
  • Court order details and case numbers
  • Visit schedules, locations, and attendance records
  • Observation notes and incident documentation
  • Professional reports and assessments
  • Photographs or documents uploaded to case files

2.3 Payment Information

We collect payment information necessary to process subscription fees and invoice payments, including:

  • Billing name and address
  • Credit card or payment method details (processed securely by Stripe)
  • Transaction history

2.4 Usage Information

We automatically collect:

  • Device information (browser type, operating system)
  • IP address and approximate location
  • Pages visited and features used
  • Date and time of access

2.5 Precise Location Data (Visit Route Capture)

If you grant your browser's location permission, the Service collects precise geolocation data (GPS coordinates) from your device periodically while a visit is in progress, along with your device's battery level, to document how a visit moved between locations. This location data is stored with the visit record and may be displayed as a route map within the visit's documentation, reports, and report PDFs. Location capture is optional: if you deny the location permission, visit documentation works normally without it, and no precise location data is collected.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service
  • Process transactions and send related information
  • Generate reports and documents you request
  • Send administrative communications about the Service
  • Respond to your comments, questions, and support requests
  • Monitor and analyze usage patterns to improve user experience
  • Detect, prevent, and address technical issues and security threats
  • Comply with legal obligations

4. Data Sharing and Disclosure

4.1 Service Providers

We share information with trusted third-party service providers:

  • Stripe — Payment processing. Stripe processes payment information in accordance with their Privacy Policy.
  • Anthropic (Claude AI) — AI-assisted report generation. When you use AI features, report content is sent to Anthropic for processing. We implement PII redaction to remove personally identifiable information before transmission. See Anthropic's Privacy Policy.
  • Supabase — Database and authentication services.
  • Vercel — Web hosting and content delivery.
  • Resend — Email delivery. Transactional emails (such as visit notifications, invoices, agreement signing requests, and report distribution) are sent through Resend. See Resend's Privacy Policy.
  • PostHog — Product analytics, used to understand feature usage. Analytics run only if you accept analytics cookies. See PostHog's Privacy Policy.
  • Google Analytics — Aggregate website analytics, used to understand how our site is used. Analytics run only if you accept analytics cookies. See Google's Privacy Policy.
  • Sentry — Error monitoring. When a server error occurs, diagnostic information (such as the request path, error details, and IP address) is sent to Sentry so we can detect and fix problems; sensitive request headers and cookies are removed before transmission. See Sentry's Privacy Policy.
  • OpenStreetMap — Map display. When you view a visit route map in the app, your browser requests map tiles directly from OpenStreetMap's servers, which receive your IP address and the requested map area. Maps embedded in report PDFs are fetched by our servers instead. See the OSMF Privacy Policy.

4.2 Legal Requirements

We may disclose your information if required to do so by law or in response to:

  • Valid subpoenas, court orders, or legal process
  • Requests from law enforcement or government agencies
  • Protection of our rights, property, or safety

4.3 Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity.

5. Data Security

We implement robust security measures to protect your information:

  • Encryption — All data is encrypted in transit (TLS/SSL) and at rest (AES-256)
  • Access Controls — Role-based access ensures users only see authorized data
  • Audit Logging — Sensitive operations, including record changes and administrative support access, are recorded in audit logs
  • Ongoing Security Review — We review and improve our security practices on an ongoing basis
  • Secure Infrastructure — Hosting on third-party cloud infrastructure providers (such as our database and application hosts) that maintain their own SOC 2 compliance

While we strive to protect your information, no method of transmission over the Internet is 100% secure. We cannot guarantee absolute security.

Breach Notification. In the event of a confirmed data breach affecting your personal information, we will notify affected customers without undue delay and, where feasible, within 72 hours of confirming the breach, describing the nature of the incident, the categories of data involved, and the steps taken to address it. Where you use the Service to process personal data about third parties, you act as the controller of that data and are responsible for any further notifications to affected individuals or authorities, as described in our Data Processing Agreement.

6. Data Retention

We retain your information for as long as your account exists:

  • If your trial or subscription ends, your account becomes read-only and your data remains stored and accessible to you — nothing is deleted for non-payment
  • Case and visit data may be subject to legal record-keeping requirements applicable to supervised visitation records
  • You may request deletion of your account and associated data at any time (see Section 7.3); some data may be retained as required by law

7. Your Rights and Choices

7.1 Access and Correction

You may access and update your account information at any time through your account settings. For case data, you can view, edit, and export records through the Service.

7.2 Data Portability

You may request a copy of your data in a commonly used, machine-readable format.

7.3 Deletion

You may request deletion of your account and associated data by contacting us at support@familybridge.ai. Some data may be retained as required by law.

7.4 Communications

We currently send service and account communications only — such as visit notifications, invoices, agreement signing requests, report delivery, and account notices. If we send marketing emails in the future, each will include an unsubscribe option.

9. California Privacy Rights (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):

  • Right to Know — You may request information about the categories and specific pieces of personal information we have collected.
  • Right to Delete — You may request deletion of your personal information, subject to certain exceptions.
  • Right to Non-Discrimination — We will not discriminate against you for exercising your privacy rights.
  • Right to Opt-Out — We do not sell personal information to third parties.

10. Children's Privacy

The Service is not intended for use by individuals under 18 years of age. We do not knowingly collect personal information directly from children.

Case data that our professional customers enter into the Service may include information about minors who are the subjects of supervised visitation. Where you use the Service to process this information, you act as the controller of that data: you are responsible for maintaining the lawful authority and legal basis — such as a court order or professional engagement — to collect and process information about minors and other case participants. We process this information solely on your instructions for the professional purpose of supervised visitation documentation, secure it as described in Section 5, and retain and delete it as described in Section 6. These roles and responsibilities are set out in our Data Processing Agreement.

11. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. We ensure appropriate safeguards are in place for such transfers.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last Updated" date above. For material changes, we will provide notice through the Service or by email before the changes take effect. Your continued use of the Service after the effective date of any revised version constitutes acceptance of it.
