Team & Case Assignment

Grow the practice without opening the whole book.

Bring your staff into one account with three roles, hand each case to the monitor carrying it, and let every monitor see their own work and nothing else — enforced by the database, not by hiding rows in the interface.

The roster on desktop: every role at a glance, an invitation on its way, and a case handed to a monitor.

A practice with staff, not a shared login

Three roles, and only one of them costs money

The owner runs the practice and the billing. Admins are for office staff — they see every case and manage members and assignments, but never billing. Monitors carry cases. Admins and office staff are free, however many you add.

Everyone gets their own sign-in

Invite by email from My Team. Each person accepts and creates their own credentials, so nobody shares a password and every action on a case is attributable to the person who took it.

Assign the case to whoever is carrying it

Set the assigned monitor when you open a case, or change it later from Edit Case. Only owners and admins can assign, and a case can sit unassigned while you decide who takes it.

A monitor sees their own book

Their dashboard and case list hold the cases assigned to them. The rest of the practice is not filtered out of the view — it is not returned at all, because the rule is a database policy rather than a interface filter.

Access ends when the membership does

Remove someone and their access stops immediately, including to the cases they were carrying — there is no stale assignment left granting entry. The visits they documented and the reports they wrote stay on the case.

You only pay for monitors

Your subscription covers the practice and one monitor. Each additional monitor is $49/month, prorated from the day you add them and credited back when they leave.

From solo practice to a staffed agency

1

Invite your staff

From My Team, send each person an email invitation and pick their role. They create their own sign-in when they accept.

2

Assign the work

Give each case to the monitor carrying it, on the case itself. Reassign whenever the work moves.

3

Everyone sees their own lane

Monitors work their assigned cases end to end — intake, agreements, visits, reports, invoices. Owners and admins keep the whole picture.

4

Adjust as the practice changes

Add a monitor when you hire, remove one when they leave, and the bill follows on the next invoice. Admins never add to it.

Common questions

No. A solo practice is the default: you are the owner, you see every case, and nothing here gets in your way. It is there the day you hire someone.

No — a monitor sees only the cases assigned to them. That boundary is enforced in the database by the same row-level security that separates one practice from another, so it is not a matter of the interface hiding rows.

An admin sees every case in the practice, invites members, and assigns cases. What an admin cannot do is manage billing, or act on the owner or on another admin. Admins are free.

It stays on the case. Removing someone ends their access immediately, including to the cases assigned to them, but the visits they documented and the reports they wrote remain part of the record — as they must, since those are evidence.

Only monitors. Your subscription covers your practice and one monitor; each additional monitor is $49/month or $468/year. Owners and admins are never charged, so office and administrative staff cost nothing.
